This Privacy Policy explains how Hopin Jobs Private Limited ("Hopin", "we", "us", or "our") collects, uses, shares, stores, and protects information when you use our website, mobile app, web portal, job discovery tools, resume tools, application tracker, alerts, and related services.
By using Hopin, you agree to this Privacy Policy. If you do not agree, please do not use the service.
Information We Collect
We collect information you give us, information created when you use Hopin, and limited technical information needed to keep the service working.
- Account information: name, email address, sign-in provider details, profile photo, authentication identifiers, and account settings.
- Profile and preference information: college, course, graduation year, skills, work preferences, locations, role interests, salary preferences, and other career details you choose to provide.
- Resume and document information: uploaded resumes, parsed resume data, education, experience, projects, certifications, portfolio links, and file metadata.
- Job and application activity: searches, filters, saved jobs, hidden jobs, viewed jobs, applied jobs, tracker statuses, reminders, and notes you create in Hopin.
- Communications: messages you send us, support requests, feedback, survey responses, email preferences, and WhatsApp or notification preferences if you choose to use them.
- Device, usage, and security data: IP address, browser or app version, device type, pages viewed, features used, timestamps, logs, crash reports, approximate location derived from IP, and security events.
How We Use Information
- To create and maintain your Hopin account.
- To personalize jobs, internships, recommendations, alerts, and application workflows.
- To parse, improve, tailor, or evaluate resumes and career profiles when you ask us to.
- To maintain your tracker, saved jobs, application history, and preferences.
- To send service messages, product updates, support replies, and optional reminders.
- To improve reliability, security, analytics, fraud prevention, and product quality.
- To comply with legal obligations and enforce our Terms of Service.
AI Features
Some Hopin features use AI models to help with resume analysis, job matching, summaries, recommendations, emails, and other career workflows. When you use these features, we may send the information needed for that feature, such as your resume, profile, preferences, job description, or prompt, to OpenAI, Anthropic, or another AI service provider we disclose before using for that feature. We do not sell your resume or profile data.
Google User Data and Google API Services
When you choose to connect your Gmail account to Hopin (for example, to send job application emails from your own Gmail through the Hopin Auto Apply feature), Hopin uses the https://www.googleapis.com/auth/gmail.send OAuth scope from Google. This is the narrowest Gmail scope and only allows Hopin to send a new email on your behalf. Hopin does not read your inbox, does not list, view, modify, or delete any existing messages or drafts in your Gmail account, and does not access Gmail metadata beyond the single outbound message you authorize.
How Hopin uses Google user data:
- gmail.send scope: used solely to deliver an application email that you draft and review inside Hopin and then explicitly tap "Send" on. One user action sends one outbound email. We never send email on your behalf without your explicit in-app review and confirmation.
- Sign-in profile (openid, email, profile): used to create and authenticate your Hopin account and to associate the gmail.send capability with your Hopin user.
Hopin's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We use Google user data only to provide or improve user-facing features that are visible and prominent in the Hopin user interface (the Auto Apply email composer and send flow).
- We do not transfer Google user data to any third party, except as necessary to provide the Hopin features you are using, for security purposes, or to comply with applicable law.
- We do not use Google user data for serving advertisements, including retargeting, personalized, or interest-based advertising.
- We do not allow humans to read Google user data unless we have your specific consent for limited support, we are required by law, the data is aggregated and anonymized for internal operations, or it is necessary for security purposes.
- We do not use Google user data, including the content of any email sent through Hopin, to develop, improve, or train generalized or non-personalized AI or machine-learning models.
You may revoke Hopin's access to your Gmail at any time from https://myaccount.google.com/permissions, or by deleting your Hopin account, which automatically revokes the OAuth grant on our side and purges your stored Google authorization tokens.
Service Providers
We use trusted service providers to operate Hopin. These include:
- Supabase for authentication, database, and storage infrastructure.
- AWS for website, frontend, backend, API, and product infrastructure.
- Google for sign-in and related authentication services where you choose Google login.
- OpenAI and Anthropic for AI-assisted features you choose to use.
- PostHog for product analytics and usage diagnostics.
- Meta for WhatsApp messages and related notification workflows where enabled.
- Automation infrastructure providers only if you choose to use an assisted application feature that requires it.
These providers process information on our behalf and are expected to protect it according to their contracts, security controls, and applicable law.
Data Location And Transfers
Our website, frontend, backend, API, and product infrastructure are hosted through AWS infrastructure in the ap-south-1 region in Mumbai, India. Supabase stores and processes product data in Ohio, United States. OpenAI, Anthropic, PostHog, Meta, Google, and other providers may process information in India, the United States, or other countries depending on their infrastructure and the feature used.
We do not currently promise that all processing remains only in India. Where information is processed outside India, we use service providers and safeguards intended to protect your data.
Retention
We keep personal information for as long as needed to provide Hopin, maintain your account, support product reliability, meet legal obligations, resolve disputes, and enforce our agreements. If you request deletion, we aim to delete or anonymize account information and user content within 30 days after verification unless we need to retain limited records for legal, security, fraud-prevention, backup, or compliance reasons.
Your Choices And Rights
You can update some profile information inside Hopin. You may also request access, correction, deletion, or withdrawal of consent by contacting us. We may need to verify your identity before acting on a request.
Security
We use technical and organizational safeguards such as access controls, HTTPS, authentication protections, provider security controls, and monitoring. No online service can be guaranteed to be perfectly secure, so please use a strong password or secure sign-in method and keep your account access private.
Children
Hopin is designed for college students, freshers, and early-career users. It is not directed to children under 18. If you are under 18, use Hopin only with parent or guardian consent.
Changes
We may update this Privacy Policy as Hopin changes. We will update the date above and, where required, provide additional notice.
